Guidlines for Hosting a Meet

  1. Send out directions to your school to each school advisor competing in your division. You can do this by e-mail.


  2. Make up a proctoring schedule including who corrects, scores, room assignments, etc.


  3. Have some refreshments for all participants and advisors prior to the start of the meet.


  4. Proctoring should be done in the following way:

    • All exam sheets should be placed face down on desks with practice paper on top of it.
    • After this has been done, ask students to enter room. After they have been given time to write Name, School, and Grade on each side, tell them to begin. Give them a two minute warning and a fifteen second warning.
    • When asked to stop, all students should leave the room and the proctor then picks up the exam sheets. The next round is conducted in the same manner. Students who are alternates should be handled in an entirely different area than those who are actually competing.

  5. Correcting should be done in the following way:
    • Work in pairs, the first corrector views the answers and puts the total score for the student on the back of the sheet.
    • The second corrector checks the answers, and if in agreement with the score on the back of the sheet, then circles it.
    • If there is any disagreement on scoring by the two correctors, they should confer and come to some agreement.

  6. The scoring of the student papers onto the composite sheets should be done by two people, one the recorder and the other the reader.


  7. The Executive Committee member should be in charge of the actual running of the meet, once the host advisor has done all the duties required of him/her.
